Once all of the customer information is entered, a Daily Routine Report is generated detailing all jobs scheduled for that day or any other specified date. From the Daily Routine Report a schedule is then printed by route or by crew, and this schedule provides the crew details of the route and the work to be performed at each customer. At day?EUR??,,????'???s end the billing function is handled though a quick verification of the work completed and any uncompleted jobs are noted too, thus automatically adjusting the schedules for the following
day(s) accordingly.

Getting Started

Getting started with GroundsKeeper Pro requires the one-time input of the company?EUR??,,????'???s customer information into the Customer Database. The software does have the important feature that allows the billing and job site to be different and multiple job sites for a single billing address. Once the basic data has been entered, the services and pricing is added to the customer file. If these services are to be performed on a regular basis, the time interval is entered such as ?EUR??,,????'??every 7 days?EUR??,,????'?? or whatever the contract specifies. If the customer is to be assigned to a specific crew or route, this information is also added. These few steps complete the initial customer, scheduling and routing set-up and no further maintenance is required unless additional services are added to a customer or new customers are obtained.

Simplifying the Process

Before going out into the field each day, a schedule of work for that day will be displayed in the ?EUR??,,????'??Scheduling?EUR??,,????'?? screen. After returning from performing all the day?EUR??,,????'???s services, the landscaper will enter the program once more and use the ?EUR??,,????'??Apply Charges Wizard?EUR??,,????'?? to quickly charge each customer, with one simple click of the mouse, for all the services that were performed that day. Then, when it is time to print the bills, all the information needed is already there. In the regions of the country where pesticide/herbicide reporting is required, Grounds Keeper Pro again simplifies the process.

The software has a separate function for creating customer inquiries and job estimates. Just by entering the data in a few of the easy-to-follow spaces on an estimate template, the estimate report will determine how much the customer should be charged and how much profit will be generated by the job. The report also provides the breakdown of labor and material costs.

Managing the Process

The customer database and mailing labels can also be used to create customer mailings promoting new services or to send service contract renewals well prior to the start of the new season. This software program includes other important business management tools that do contribute to overall improvements to the company?EUR??,,????'???s performance and results. By tracking and summarizing expenses, payroll, and taxes billed and collected, as well as accounts receivable, the owner-operator has the critical information at his or her fingertips whenever it is needed.

Seasonal Flexibility

The year-end or season end procedure for GroundsKeeper Pro is flexible, and if the owner-operator decides to do no archiving, the program is certainly capable of retaining the data for several years running.
